Job Summary:
We are seeking a highly organized and proactive Administrative Assistant to support our executive team. This person will join an exciting start-up with a nimble and fast-paced team that is pioneering therapeutics to cure blindness.
The Administrative Assistant will be responsible for managing complex administrative tasks, including calendar management, scheduling travel, conference registrations, managing correspondence, processing expense reports, meeting/event planning and creating or modifying business documents. Also, will provide support to the front desk reception and greeting guests upon arrival.
The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work independently in a fast-paced environment. This is an onsite position working in our San Francisco office, Monday to Friday.
Responsibilities:
Company/Corporate Support: Provide comprehensive support to senior executives. Manage calendars, arrange meetings, prepare materials, and assist with daily tasks.
Travel Coordination: Plan and coordinate domestic and international travel for executives, including flight, hotel, and transportation arrangements. Ensure all logistics are seamless and aligned with business needs.
Meeting and Event Coordination: Organize meetings, both virtual and in-person, including scheduling, preparation of agendas, compiling presentations, and taking meeting minutes. Ensure all resources and equipment are available and functioning.
Budget and Expense Management: Assist with budget tracking and management, including preparing and submitting expense reports for executives.
Correspondence and Communication: Screen and respond to emails and phone calls, draft communication, and prioritize tasks on behalf of the executives. Maintain confidentiality and professionalism in all interactions.
Special Projects: Support executives with various special projects and initiatives as needed.
Required Skills and Background:
Requires a high school diploma or equivalent. Associate or Bachelor degree preferred.
Minimum 2 years of administrative experience in a related area or function.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling tools.
Excellent written and verbal communication skills.
Ability to handle sensitive information with discretion and professionalism.
Careful attention to detail and ability to prioritize tasks effectively.
Collaborative, self-starting spirit able to work as a part of a team
Ability to multi-task and work efficiently in an environment with changing priorities
The expected base pay range for this position is $65,000 – $75,000 per year plus bonus and comprehensive benefits. The base pay range reflects the target range for this position, but individual pay will be determined by additional factors such as job-related skills, experience and relevant education or training.
