We are seeking a highly skilled full time Executive Assistant to provide high-level personal administrative support to an executive. This includes a variety of clerical duties to support business management operations. This role requires a strategic thinker with exceptional organizational abilities, discretion and the ability to thrive in a fast-paced environment. This is a full-time onsite role.
Responsibilities:
Serve as the primary point of contact for internal & external communications on behalf of an executive
Screen & prioritize emails, calls & messages to ensure the Executive’s time is focused on critical matters
Draft, proofread, and send emails, memos, and other communications with clarity and professionalism
Arrange domestic and international travel, including flights, hotels and ground transportation
Prepare meeting agendas, documents & reference materials
Attend meetings and take detailed meeting minutes, making sure to track action items to ensure follow-through
Arrange and coordinate meetings and events
Receive and interact with incoming visitors
Liaise with internal staff at all levels
Track & reconcile the Executive’s business expenses, ensuring accurate & timely reporting
Assist with approvals and liaise with internal client teams as needed
Anticipate needs and proactively address issues before they escalate
Provide a buffer for non-essential tasks while ensuring critical matters receive immediate attention
Maintain professional boundaries and uphold the company’s reputation for discretion & trust
Other special projects as assigned
Requirements:
Minimum 4 years of experience providing support to C-suite executives, preferably in a high-profile or fast-paced environment
BA degree preferred
Proven ability to handle confidential information with discretion, maintaining a high level of professionalism at all times
Strong ability to multitask, prioritize and manage competing demands with impeccable attention to detail
Proficiency with Microsoft Office Suite; familiarity with financial or accounting software is a plus
Excellent verbal and written communication skills
Organizational and planning skills
Judgement and decision-making abilities
Personable, positive and enthusiastic attitude
Proficient in overseeing multiple projects and meeting strict deadlines
Be able to work with a variety of personalities

The base salary range for this position is $100,000 – $130,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
