Compensation: $100,000 – $120,000 annually

Schedule: Monday – Friday, 8:30 AM – 5:30 PM (after-hours support may occasionally be required)

Position Overview:

We are seeking a polished, proactive, and highly organized Executive Assistant to provide dedicated support to two senior-level partners. This individual will play a key role in ensuring smooth day-to-day operations by managing calendars, coordinating meetings and travel, handling confidential information, and serving as a professional point of contact internally and externally.

Key Responsibilities:

Executive Support

Manage complex calendars, including scheduling meetings, calls, and travel arrangements

Prepare briefing materials, reports, and presentations

Coordinate internal and external meetings, ensuring logistics and materials are prepared

Act as liaison between executives and various departments, clients, and vendors

Maintain confidentiality and professionalism at all times

Travel & Expense Management

Coordinate domestic and international travel, including accommodations and transportation

Prepare and submit detailed expense reports

Anticipate travel needs and proactively resolve scheduling conflicts

Office & Meeting Coordination

Prepare executives for meetings with all necessary materials

Manage conference room bookings and meeting logistics (including AV and catering)

Maintain a professional office environment and anticipate office needs

Reception & Office Support (as needed)

Greet and assist visitors with a professional and welcoming demeanor

Manage incoming calls, mail, and deliveries

Coordinate with facilities/vendors to maintain a functional workspace

Assist with office supply orders and food/beverage coordination

Special Projects & Administrative Duties

Assist with special initiatives and executive-led projects

Conduct light research and contribute to strategic efforts

Maintain internal documentation and filing systems

Qualifications:

Prior experience as an Executive Assistant or in a senior-level administrative support role

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

Experience with Google Suite preferred

Familiarity with Salesforce, Concur, and Dropbox is a plus

Strong organizational, time-management, and communication skills
