Our international client, a world-leading organisation in the IT/Software market, is looking for an experienced Executive Assistant with administrative skills to join their vibrant Business Support Team in Schiphol.
In this role, you will function and work closely with business support team members to ensure the smooth operation of the executive office.
Job Profile for Executive Assistant
Responsibilities will include, but not be limited to:
Manage and prioritise proactively complex calendar for multiple executives (2-3 managers)
Set up complex internal and customer meetings
Attend to and support at all-up events including summits, offsites, all-hands, morale events and other types, as required
Handle expense reports for multiple executives
Manage domestic and international travel logistics as well as business trip preparations
Process invoices and manage purchase orders
Ensure timely and effective communication across all relevant parties
Ensure compliance with administrative operations policies and procedures
Improve and prioritise work tasks and projects
Maintain company tools, resources, databases, and processes to improve efficiency
Adhere to and advise on the company’s policies about procuring third-party services and partner engagement
Exercise sound judgment, tact, integrity, and professionalism in all transactions
Candidate Profile for Executive Assistant
Must be fluent in Dutch and English, both written and spoken
At least 5 years of experience as a Business Support Team Assistant and/or Executive Assistant in a fast-paced environment
Proficiency using Microsoft productivity software, including Outlook, all Office suite programs, SharePoint, OneNote, Teams, etc
Strong planning, organisational, time management, and problem-solving skills with the ability to react with appropriate urgency to situations and requests
Proactive team player with excellent written and verbal communication skills
Detail-oriented, able to meet deadlines, flexible and comfortable working independently
Able to carry out plans, including organising and managing tasks and resources to accomplish a defined objective
Able to manage highly sensitive business and/or personal matters with tact and the utmost confidentiality
Capable of handling ambiguity, steer through uncertain situations, and strive for clarity
