The Executive/Personal Assistant provides high-level administrative support to the executive, ensuring efficient operations of both professional and personal affairs. This role requires discretion, initiative, strong organizational skills, and the ability to manage multiple tasks simultaneously in a dynamic environment. The ideal candidate is proactive, highly resourceful, and committed to maintaining confidentiality and professionalism.
Key Responsibilities
Executive Support
Manage complex calendars, schedule meetings, and coordinate travel arrangements
Screen and prioritize emails, phone calls, and correspondence
Prepare reports, presentations, and other confidential documents
Organize and maintain electronic and physical filing systems
Attend meetings and record accurate minutes when requested
Serve as a liaison between the executive and internal/external stakeholders
Handle special projects, including research and event coordination
Personal Support
Coordinate household appointments, travel, errands, and family-related tasks
Manage personal calendars, reminders, reservations, and purchases
Assist with home vendor management, service providers, and deliveries
Handle confidential personal information, including financials and legal documentation
Administrative Functions
Process expense reports, reconcile credit card statements, and assist with budget tracking
Order supplies, manage subscriptions, and ensure operational efficiency
Maintain up-to-date contact lists, databases, and communication logs
Qualifications
Required
Proven experience as an Executive Assistant, Personal Assistant, or similar role
Exceptional verbal and written communication skills
High degree of professionalism, discretion, and confidentiality
Strong organizational, time management, and multitasking abilities
Proficiency in Microsoft Office Suite and/or Google Workspace
Ability to work independently and respond flexibly to changing priorities
Preferred
Bachelor’s degree in Business Administration, Communications, or related field
Experience in both corporate and personal support settings
Familiarity with project management tools and virtual collaboration platforms
