Job Summary:
Our Administrative Coordinator supports the daily administrative operations of the Museum with a focus on organization and coordination of both internal and guest-facing business services. This position ensures timely and accurate data entry and executes effective business systems and processes, including support for our sales, customer service, financial, and human resource functions. This role helps maintain smooth internal operations and contributes to a positive guest and staff experience, enabling the Museum to advance our mission to inspire lifelong learning through play, exploration, and discovery.
Key Responsibilities:
Enter accurate data and maintain data integrity within the Museum’s database, supporting membership, donor, facility rental, field trip, program registration, and group sales records.
Process new and renewed Museum memberships, including database record management and data entry, approving access applications, and preparing and distributing membership cards and information.
Provide administrative support, scheduling, communication, and invoicing related to the use of Museum spaces for external groups, such as meetings, facility rentals, and field trips.
Prepare and assist with reconciling daily cash and check deposits in coordination with the Museum’s financial procedures.
Coordinate logistics for internal meetings, including preparing materials, spaces, and communications to support effective engagement.
Support Human Resources processes, including coordinating interviews, and preparing onboarding and offboarding materials.
Provide general administrative support for business needs, including filing, supply ordering, mail sorting, and responding to routine inquiries.
Support strong cross-departmental collaboration, working together to ensure that the Museum experience is positive for all guests.
Other duties as assigned.
Qualifications:
Bachelor’s degree in business or related field is preferred, but not required.
Previous experience in related role, such as business management, data entry, finance, human resources, or administrative support is preferred, but not required.
Shows a passion for and commitment to the Museum’s mission, vision, and values.
Ability to follow and enforce established systems, processes, and procedures with consistency and accuracy.
Strong organization and ability to manage multiple projects and meet deadlines.
Great attention to detail.
Excellent written and verbal communication skills.
Self-motivated and able to work independently.
Team player with ability to collaborate and cooperate.
What We Offer:
Starting salary range of at least $22.00 per hour and will be evaluated commensurate with experience and qualifications.
This is a non-exempt position.

This position reports to our Business and Administration Manager.
