Job Overview:
The Financial Administrator supports the Operations team that is responsible for the daily workflows of 6 advisors. This role will work with all sides of operations including investments, insurance, client experience and office administration.
Duties and Responsibilities:
Administrative Tasks and Office Operations/Management
Office Operations: Overseeing daily office operations of the Irwin Office to ensure efficiency.
Managing Inbound and Outbound Mail: FedEx, UPS & USPS mail.
Managing schedules: Organizing and maintaining calendars, setting up meetings, and appointments.
Handling correspondence: Handling and assisting in emails, phone calls, and other communications.
Supplies: Managing office supplies.
Document management: Filing, organizing, and retrieving documents, which will include managing and digitizing client files in the Irwin office, turning paper files into digital files and filing them into our electronic storage.
Operations Team Support
Greentree Operations Support: Working with the Greentree Operations Team in coordinating the next steps in advisor and case workflow and management.
Client Experience: Managing client experience, which may include clients dropping into the office to drop off items for the advisors and team.
Document Preparation and Correspondence: Preparing applications and correspondence with client and carriers to retrieve and relay information.
Attention to Detail: Ensuring accuracy in all tasks and records.
Time management: As part of the operations team, there are going to be specific urgent needs for the advisors in Irwin. The operations team will rely on you to be able to focus on these matters and take the lead.
Verbal communication: Clear and effective speaking skills with the operations team and advisors.
Written communication: Proficient in writing emails, reports, and other documents.

Qualifications
Education: Associate or bachelor’s degree
Work Experience: 2+ years of experience in financial services or administrative support.
Computer proficiency: Familiarity with office software (e.g., Microsoft Office).
Tech-savvy: Ability to troubleshoot basic tech issues and use various digital tools.
Data management: Managing and organizing data effectively.
