The Executive Assistant will support members of the Senior Leadership Team of the Clean Energy organization. Key daily activities include calendar management, new vendor registration and invoice coding, travel and expense management, digital bank deposits, signature coordination, and special event coordination.

This is a remote position with occasional travelling to our offices in Colorado, Texas, Utah, Indiana, and others if required.

Principal Duties and Responsibilities:

Develops informal network internally to enable the smooth flow of information and a high competency to accomplish tasks efficiently.

Learns organizational priorities and uses to actively handle calendars, proactively clearing conflicts without prompting – seeks input on priorities when unclear.

Attentively responds to the financial process needs of the team, actively coding invoices, preparing expense reports, and processing bank deposits.

Provides a bridge for smooth communication between internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.

Works closely and effectively with the leadership to keep them informed of upcoming commitments and responsibilities, following up appropriately.

Monitors signature requests and makes sure that responses are timely.

Maintain a calendar of operations events and support team in ensuring they are completed effectively.

Minimum Qualifications:

Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) Adobe Acrobat.

Great attention to detail and a high sense of responsibility

Cheerful phone demeanor and front office presence

Must be able to run multiple priorities and work in a fast-paced environment

Punctual and reliable
