Job DescriptionResponsibilities:

Provide high-level administrative support to senior management

Coordinate domestic and international travel, including airfare, hotel arrangements, and car service

Maintain executives’ calendar, schedule all meetings and conference calls, field e-mails and phone calls, handle meeting conflicts

Client interaction with high-level executives; act as liaison with clients and their assistants.

Manage multiple calendars while anticipating needs

Prepare and submit expenses via SAP Concur

Coordinate internal and external meetings and conference calls

Meet and greet visitors and clients

Work with the events team to coordinate internal and external events

Work remotely while attending high profile projects and events

Work remotely with team members when they are traveling

Coordinate print and production of documents and materials

Act as back-up for other Administrative Assistants as necessary

Required Background/Skills:

Experience using SAP Concur preferred

Experience working in a high-pressure trading floor environment preferred

Highly motivated and proactive self-starter

Excellent verbal and written communication skills

Superior time management, organization, and adaptability skills with a strong attention to detail

Quick learner with the ability to multi-task

Ability to deal with confidential information with a high level of discretion

Minimum Requirements:

Bachelor’s Degree

3+ years of administrative experience preferred

Strong computer skills with proficient knowledge of MS Outlook, Word, Excel and PowerPoint
