Full Job Description

We are seeking a highly organized and detail-oriented Executive Assistant to support the President of our company. He has three different businesses that are in the construction, agricultural, and real estate rental industries. The ideal candidate will provide administrative and in person assistance for all three businesses. Each business does not require a full time workload hence why we have combined them to create a full time position.

Duties:

– Manage executive calendars, including scheduling meetings and appointments
– Assist in coordinating travel arrangements
– Perform general administrative tasks such as answering phones, responding to emails, and data entry
– Assist in transcribing and preparing documents using software like DocuSign
– Support event planning and coordination

– For the construction business: Assist with duties such as coordinate and communicate with employees and sub-contractors, Communicate with vendors and suppliers regarding orders and materials, Communicate with clients as needed, and Assist in payroll.

-For the Rental business: Assist with rental duties such as develop documents like lease agreements, Schedule showings and meetings with potential renters, and Schedule and complete maintenance requests as needed.

-For agricultural business: Assist with farm duties such as ordering materials, communicating with farm manager, coordinating logistics, payroll, and cold calling.

Qualifications:

– Proven experience in office management, calendar management, and general administrative tasks
– Familiarity with phone systems and providing excellent customer service
– Strong data entry skills with attention to detail
– Ability to transcribe accurately and efficiently
– Proficiency in software applications such as DocuSign for document management
– Prior experience in any of the three industries is a plus.
– Excellent communication skills and the ability to work well in a team environment
