This is an exciting opportunity to join a dynamic, fast-paced financial services organization as an Executive and Personal Assistant to the Chief Executive Officer. Based primarily onsite in the heart of the City of London.

Main Accountabilities (Corporate):

Executive Assistant to the Chief Executive Officer

Extensive diary management. This includes liaising with the wider business to appropriately schedule meetings based on availability and priorities and scheduling meetings on behalf of the MD&CEO accordingly. Further, rescheduling meetings at short notice when other priorities arise is also expected.

Sole ownership of organising and managing fluid travel arrangements including booking flights, hotels, currency, creating travel packs and itineraries on behalf of the CEO.

Administrative duties relating to the entire Dealing Room (Sales/Trading business comprising of around 30 individuals). This includes managing the attendance records, holiday planner, booking business travel (flights, hotels, currency, travel packs and itineraries), seating charts, and amending records relating to new starters and leavers administration.

Preparing presentations and Board meeting packs in a timely manner and ahead of prescheduled meetings.

Minute taking during meetings as requested by the CEO

Acting as the liaison between the business and the CEO

Administration for corporate entertainment

Main Accountabilities (Personal):

Management of household bills and staff

Management of personal (fluid) travel arrangements (hotels, flights, currency, travel packs)

Ad hoc personal shopping as required.

Management of family appointments and event coordination

Management of the house-hold diary

Further Ad hoc duties may arise throughout employment. This may include elements of

facilities/office management.

Experience Required:

High level secretarial and administration experience in a busy, fast-paced environment.

Experience within financial services would be useful.

Adequate experience in supporting a C-Suite individual on a 1-1 basis.

Proficient knowledge of Microsoft Word, Excel, Outlook, Teams
