  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Ability to work independently and adapt in a fast‑paced environment

Position Summary

We are seeking a highly organized, proactive Executive Administrative Assistant to provide high‑level administrative and operational support to senior leadership. This role requires exceptional attention to detail, strong judgment, and the ability to manage multiple priorities in a fast‑paced environment while handling sensitive information with discretion and professionalism.

Key Responsibilities

Executive Support & Calendar Management

  • Manage complex executive calendars, including scheduling, prioritization, and coordination across internal and external stakeholders
  • Anticipate scheduling conflicts and proactively resolve issues to ensure executive productivity
  • Prepare agendas, briefing materials, and follow‑ups for meetings

Travel & Logistics

  • Coordinate domestic and international travel, including itineraries, accommodations, and transportation
  • Manage real‑time changes and ensure compliance with company travel policies
  • Support executive visits, offsites, and leadership events

Communication & Documentation

  • Draft, edit, and format executive‑level correspondence, presentations, reports, and spreadsheets
  • Take meeting notes and track action items to completion
  • Serve as a professional point of contact for internal teams and external partners

Operational & Project Support

  • Support special projects, departmental initiatives, and ad hoc requests
  • Track expenses, prepare reports, and assist with budget management as needed
  • Maintain organized filing systems and documentation

Confidentiality & Professionalism

  • Handle highly sensitive information with discretion and sound judgment
  • Represent the executive office with professionalism, integrity, and attention to detail at all times
