Our OpportunityWe currently have a 12 month Fixed-Term opportunity for a Business Support Partner to join us in London, supporting our two UK VPs. This is a great opportunity for an experienced PA or EA to join us in a busy, fast paced, supportive team, providing board level support across a range of activities.
This will be a hybrid role, with a minimum requirement of 2 days per week in one of our London based offices (mainly St Katherine’s Dock and occasionally Waterloo and Stratford offices as well as offices outside of London including offsite events).
Key Responsibilities:Your day-to-day responsibilities will include, but not be limited to:
Complex diary management of two UK VPs, including the management of travel itineraries and customer interaction
Booking local and international travel through Concur and associated tasks, such as organising visas
Inbox management including certain approval requests and delegations
Co-ordination of the organisation and preparation of meetings across multiple time zones
Marketing and events – organise, support and co-ordinate all aspects of internal and external events
Communications – writing and proof-reading comms to be sent on behalf of the Director as well as co-ordinating site communications plans with internal and external comms team
Human Skills
High level understanding of the mechanisms behind a complex, matrix organisation
Robustness with the ability to manage multiple conflicting priorities and demands
Excellent stakeholder management at board level as well as senior external customers
High level of discretion and integrity
Excellent team working
Technical Skills
Proven time management skills
Diary and email management
Strong communication both verbally and digital
Ability to troubleshoot and provide ad-hoc IT support, often at short notice and under pressure
Highly organised and efficient event management skills
What To Expect
We aim to complete a two stage interview process, with the first interview held virtually with our Business Support Team Manager and HR Director, and the second interview in-person at our St Katherine’s Dock office, with our Business Support Team Manager and UK VP. We will host a technical interview first, followed by a behavioural competency-based interview. Reasonable adjustments are available with prior notice so please highlight if this would be necessary.
