An exciting opportunity for an experienced Executive Assistant to join a leading, privately owned investment management firm with more than $5.6 billion in assets under management!

As a member of the firm’s Endowment Capital Group, the individual will report to the Partner, Head of the Endowment Capital Group and the Director, Investor Relations and Fund Administration. The candidate should have a strong interest in administration, operations, and client service, preferably with experience in the financial services industry.

Endowment Capital Group (“ECG”) Team Support:

Executive administrative support:

Manage calendar and schedule.

Maintain contacts in Outlook.

Meeting management: scheduling video and dial-in information, conference room set up, meeting confirmations, and prep and distribute materials.

Expense reports.

Business and personal travel.

Work with the Director, Investor Relations and Fund Administration:

Log and file all investor transactions.

Update and maintain investor contact information.

Assist with investor distributions (e.g., K-1s).

Respond to client requests on a day-to-day basis including delivery of investor documents, investor document distribution changes, and user assistance with access to investor portal.

Track and archive all client presentations consistent with compliance-approved process.

Prepare and process all transaction documents, including governing documents, subscription and withdrawal materials, transfers and re-registrations, wire instruction and contact change requests.

Assist with monthly, quarterly, and annual SEC submissions.

Qualifications/Experience:

5+ years’ administrative professional experience ideally in investment management, law, or financial services.

Strong computer skills (Excel, Word, and PowerPoint).

Excellent oral and written communication skills.

Attention to detail and follow through.

Able to prioritize tasks and manage multiple projects on a tight deliverable schedule.

Able to work well in collaborative, fast-paced environment (may need to wear many hats as needed).

****Role is in the office 5 days per week. Hours will be 7:30am-4:30pm****
