Job Summary:
The ideal candidate will be a well-organized individual and a proactive problem solver with exceptional communication skills and meticulous attention to detail. This person should have experience working in a professional environment, performing coordination and scheduling tasks, and providing support to Partners. Given the dynamic nature of the landscape, we rely on the Executive Assistant to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
Key Responsibilities:
Manage professional and personal scheduling for the Partner, including calendars, agendas, mail, email, phone calls, client management and other communications.
Assist the Partner in meeting preparations; including but not limited to agenda planning, online and offline documentation, logistics, sharing invites etc.
Maintain Minutes of Meetings and follow-up on actions/deliverables from all stakeholders.
Responding to emails and document requests on behalf of the Partner.
Prepare presentations and documents on behalf of the Partner.
Requirements:
Minimum of 2 years of relevant administrative experience as an Executive Assistant. Experience at a Legal Services firm advantageous
Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint etc).
Efficient execution of administrative activities, multi-tasking with high attention to detail, organization and process.
Clear, concise, and accurate verbal and written communication skills.
Ability to maintain professionalism and strict confidentiality with all materials.
Strong partnering, rapport-building, and relationship management abilities.
Ability to balance teamwork with self-direction and initiative to solve problems and deliver results.
Positive attitude and capability to work independently as well as part of a team.
