Role Summary:
We’re on the hunt for a highly organised, proactive Executive Assistant to support two senior leaders within our Sydney team. This is a fast-paced, high-impact role where you’ll be the backbone behind the scenes—keeping diaries on track, comms flowing, and priorities aligned.
You’ll act as a trusted right (or left) hand, working closely with senior stakeholders, anticipating needs before they arise, and ensuring everything runs seamlessly. From managing complex schedules through to supporting key business initiatives and events, you’ll play a critical role in enabling our leaders to focus on driving the business forward.
This role also taps into a broader EA network, so you’ll collaborate with other EAs across the business and step in where needed—flexible, hands-on, and always a few steps ahead.
Day to day in this role, you’ll get to:
- Manage complex, ever-changing diaries with a strong focus on prioritisation and efficiency
- Coordinate meetings across internal teams, clients, and senior stakeholders
- Monitor inboxes, flagging priorities and ensuring nothing slips through the cracks
- Take notes in meetings and track actions to ensure follow-through
- Support budget tracking, expenses, and general financial admin
- Coordinate travel, including flights, accommodation, and itineraries
- Assist with project coordination, ensuring deadlines and deliverables are met
- Organise leadership events, team offsites, and client functions
- Support pitch logistics, including presentation prep and event coordination
- Collaborate with other Executive Assistants to support the wider leadership team where needed
The person we’re looking for has / is:
- Proven experience supporting senior executives in a fast-paced, high-pressure environment – advertising, media or communications industry preferred
- Strong diary and inbox management skills, with the ability to juggle competing priorities
- Exceptional organisational skills and attention to detail
- Confident communicator with strong written and verbal skills
- Advanced Microsoft Office skills (PowerPoint, Word, Outlook) and comfort using collaboration tools like Teams or Zoom
- Ability to work proactively, anticipate needs, and problem-solve on the go
- Experience handling confidential information with discretion
- Comfortable managing multiple stakeholders across different teams
- A natural collaborator who thrives working across a wider EA network
- Experience using, or openness to using, AI tools to improve efficiency and workflow
