Job Summary:
We are seeking a highly organized and proactive Executive Assistant with a minimum of 2 years of experience to provide high-level administrative support to senior executives. The ideal candidate will be detail-oriented, tech-savvy, and experienced in handling invoices, compiling reports, and managing communications. You will play a key role in ensuring smooth operations and assisting leadership in achieving business objectives.
Key Responsibilities:
Manage daily executive schedules, meetings, and travel arrangements.
Prepare, send, and process invoices accurately and in a timely manner.
Compile, format, and distribute reports for internal and external stakeholders.
Maintain organized digital filing systems
Draft and proofread correspondence, presentations, and other documents.
Coordinate meetings, including scheduling, preparing agendas, taking minutes, and following up on action items.
Handle confidential information with integrity and discretion.
Liaise with clients, vendors, and internal departments on behalf of executives.
Track expenses and assist with basic bookkeeping and budget tracking as required.
Requirements:
Minimum 3 years of experience as an Executive Assistant or in a similar administrative role.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with invoicing software/tools (e.g., QuickBooks, Xero, Zoho, or similar).
Exceptional organizational and time-management skills.
Excellent written and verbal communication skills.
High attention to detail and ability to multitask effectively.
Proven ability to work independently and as part of a team.
Discretion in handling sensitive information.
Preferred Qualifications:
Experience working in a fast-paced business environment.
Familiarity with project management tools (e.g., Trello, Asana, Monday.com).
Background in finance, accounting, or operations is a plus.
