The Executive Assistant provides high-level administrative support to an executive, ensuring seamless coordination of their schedules, managing communications, and handling a wide array of tasks to maximize their efficiency. This role requires excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
Responsibilities
Administrative Support:
Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize documents, reports, and presentations for meetings.
Meeting Coordination:
Schedule, organize, and prepare materials for meetings and events.
Take detailed minutes and follow up on action items as needed.
Communication Management:
Act as a point of contact between the executive and internal/external stakeholders.
Draft and proofread communications, including emails, memos, and letters.
Project Assistance:
Support the executive in managing special projects by conducting research, compiling data, and preparing reports.
Monitor project timelines and ensure deliverables are met.
Office Management:
Maintain and organize files, records, and office supplies.
Liaise with vendors, contractors, and other departments as required.
Qualifications
Bachelor’s degree or equivalent experience
Proven experience as an Executive Assistant or in a similar role.
Proficient in Microsoft Office suite
Experience in managing multiple priorities, administrative coordination, and logistics
Well-organized, detail-oriented, ability to multi-task with great follow-up skills
Strong written and verbal communication skills
Ability to handle confidential information with discretion and professionalism
