About the Team

Our Talent Pillar team is growing and we are looking for a versatile Executive Assistant (EA) to directly support the Pillar General Manager along with some of their direct reports. The Talent team is responsible for a broad suite of mature and new products, including Workday Recruiting, Learning, Talent Optimization, Peakon and more. Talent is one of the largest and fastest growing product areas at Workday, servicing many of the world’s most innovative companies across the globe.

About the Role

We are looking for an experienced Executive Assistant (EA) reporting to the General Manager to support the Talent Pillar VPs. The successful candidate is organized, proactive, flexible, reliable, outgoing, professional, and exudes positivity. You must be organized, discreet, a motivated self-starter, able to multitask, possess excellent attention to detail with a sense of urgency, and excel in networking. We are a people-first leadership team, we care deeply about our people. We move fast and adapt fast and you will need to handle ambiguity and opposing priorities. Own the daily schedule for 2-3 Talent VPs

Maintain calendars up to date and make calendar hygiene recommendations

Navigate complicated calendars and time zones considerately when scheduling large group meetings

Coordinate team offsite meetings, town halls, and team events (including recommendations on venue, logistics and meeting flow)

Order catering for internal and external meetings

Coordinate domestic and international travel, weighing options and contingencies to build an outstanding experience, with thoughtful planning in critical details

Process expense reports in a timely fashion and ensure spend is within communicated budget

Orchestrate team swag projects from idea to delivery (including budgeting, selection, and purchase orders)

Coordinate with global groups related to business technology, office moves, meeting venues, workplace safety, and logistics

Proactively problem-solve with little to no direction, evaluate options that save time and avoid potential disruption, and help executives stay productive

Form positive relationships with the leader’s team and partners

Field incoming requests; exercise strong decision-making skills …
