Job Summary:
The Administrative Management Specialist (AMS) plays a crucial role in ensuring the smooth execution of administrative operations across various locations. This position focuses on process coordination, compliance oversight, and operational support, ensuring efficiency and adherence to company policies and contractual obligations. The AMS serves as a key liaison between leadership, field teams, and external stakeholders, helping to maintain clear communication and operational integrity throughout our organization
Key aspects of the AMS role include:
Overseeing administrative workflows to ensure accuracy and efficiency.
Supporting procurement, vendor coordination, and logistical operations.
Managing financial reporting, budget tracking, and compliance documentation.
Acting as a bridge between corporate leadership and field operations.
Implementing process improvements to optimize administrative functions.
Supporting personnel hiring, onboarding, training, termination, and resource management
The ideal candidate will have strong organizational skills, administrative management experience, and the ability to optimize workflows.
Responsibilities:
Manage administrative processes to support operational efficiency and compliance for the field depots, fleet operations, and project management operations, throughout corporate.
Execute procurement tasks, purchase orders agreements, and logistical support to project sites.
Maintain records, reports, and documentation for internal and external use.
Assist with budget tracking, expense management, and financial reporting.
Implement process improvements to streamline workflows.
Act as a liaison between field operations and corporate leadership.
Ensure adherence to company policies and regulatory requirements.
Support hiring , onboarding, training, and administrative needs.
Other duties as assigned
Qualifications:
Bachelor’s degree in Business Administration, Management, or a related field (preferred).
Two or more years of experience in administrative or operations management.
Proficiency in Microsoft Office Suite and administrative software.
Strong communication, organizational, and problem-solving skills.
Ability to multitask and work independently in a fast-paced environment.
Experience with vendor coordination and procurement processes is a plus.
