Company Overview:Mallacoota Abalone is one of Australia’s leading Abalone Processors and Exporters. Due to an internal promotion and re-structure, we are seeking an Executive Assistant to provide comprehensive support to our CEO. This pivotal role requires a highly organised and proactive professional that loves a challenge.

Job Description:The Executive Assistant will be responsible for handling administrative duties relating to the business. The ideal candidate will have a proven track record of success in administrative roles, with the ability to handle confidential information with discretion. This job provides flexibility for work hours ranging from 35-40 hours per week (Monday-Friday).

Responsibilities:

–     General admin duties.

–     Office mail run.

–     Liaise with Company Shareholders.

–     Liaise with abalone suppliers regarding requirements.

–     Liaise with suppliers for ordering of production consumables & packaging.

–     Liaise with Operational staff as required.

–     WHS requirements.

–     Received abalone catch data entry.

–     Production stock data entry.

–     Stock control.

–     Collate/Check production documents to ensure HACCP compliance is met.

–     Approved Arrangement maintenance & DAFF Audit participation.

–     HALAL program maintenance.

–     Liaise with Export freight forwarder regarding shipment requirements.

–     Export shipping documents (incl. Dangerous Goods documentation).

–     Customer Liaison.

–     Ex-Factory Sales.

–     Relief Payroll (as required).

–     Relief Payments to suppliers (as required).

–     Accounts data entry (as required).

–     Monthly financial reporting (as required).

–     Payment signatory.

–     Additional duties and special projects as assigned by the CEO.

Skills and Experience:

Ideally, although not mandatory, the successful candidate will possess:

–     Exceptional organisation and time management skills.

–     Strong communication skills with the ability to interact professionally with all levels of the business.

–     Proficiency in Microsoft Office Suite (word, excel, outlook) and the ability to learn other relevant software packages quickly.

–     Ability to maintain confidentiality and exercise sound judgement in decision making.

–     Flexibility and adaptability to changing priorities and deadlines.

–     Knowledge of HACCP principals.

–     Strong problem solving skills.

–     Some accounts/payroll experience.
