Professional Search Group (PSG) is seeking an Sr. Administrative Assistant/ Executive Assistant to join their client’s team! The Sr. Administrative Assistant/ Executive Assistant is a hybrid role responsible for providing high-level executive support while leading the development and execution of marketing and creative initiatives. This Sr. Administrative Assistant/ Executive Assistant position operates at the intersection of business operations and brand development, supporting senior leadership while enhancing the company’s visual identity and market presence.

Approximately 50% of this role is dedicated to executive administrative support and operations coordination, and 50% to marketing, graphic design, and content development.

This Sr. Administrative Assistant/ Executive Assistant role is ideal for a highly organized, creative professional who thrives in a fast‑paced, global environment and can seamlessly shift between strategic support and hands‑on execution.

Key Responsibilities Executive Support & Operations (50%)

  • Provide executive-level administrative support to the President and senior leadership, including preparation of presentations, proposals, and reports
  • Manage complex calendars, coordinate meetings, and optimize scheduling for efficiency
  • Arrange and oversee domestic and international travel, including itineraries, accommodations, and logistics
  • Maintain action trackers and ensure timely follow-up on key initiatives and deliverables
  • Coordinate communication and deliverables between leadership, internal teams, and external partners
  • Liaise with third‑party vendors, suppliers, and service providers to ensure timely execution and quality outcomes
  • Support cross‑functional projects, business development activities, and operational initiatives
  • Coordinate trade shows and events, including logistics, travel, and vendor management

Marketing & Creative (50%)

  • Design and produce high‑quality digital and print marketing materials (presentations, brochures, tradeshow assets, product packaging, and web content)
  • Develop and publish marketing content, including articles, newsletters, and corporate communications
  • Manage and grow the company’s Linked In presence, including content strategy, posting, and engagement
  • Collaborate with Business Development and technical teams to translate complex concepts into clear, compelling messaging and visuals
  • Plan and oversee photo and video production, including coordination with external creative vendors
  • Support trade shows and events through creation of branding, booth design, and promotional materials
  • Monitor and analyze marketing performance metrics and recommend improvements
  • Maintain organized libraries of marketing assets, templates, and brand guidelines

Qualifications & Skills

  • Proven experience supporting senior executives and/or leadership teams
  • Strong background in graphic design and digital marketing
  • Advanced proficiency in Microsoft Office (PowerPoint, Word, Excel)
  • Advanced proficiency in Adobe Creative Suite (Illustrator, Photoshop, InDesign)
  • Experience managing social media platforms, especially Linked In
  • Strong understanding of branding, layout, typography, and visual storytelling
  • Exceptional organizational skills with the ability to manage multiple priorities
  • High attention to detail and commitment to quality
  • Excellent written and verbal communication skills
  • Ability to work independently and adapt in a fast‑paced, deadline‑driven environment
  • Experience in B2B, manufacturing, aerospace, or technical industries preferred
  • Mandarin and/or Spanish language skills are a plus
