Job Brief:

We are seeking a competent Executive Assistant to provide essential support to executive’s .You will play a crucial role in organizing, improving, and maintaining the executive’s schedule, as well as performing various administrative tasks.

As an Executive Assistant , you must possess exceptional time-management, interpersonal skills, and multitasking skills to handle multiple responsibilities efficiently. Your diligence and competence will allow our VP’s Office to focus on his managerial duties without distractions.

Your primary objective will be to enhance the overall efficiency of the by ensuring the timely and efficient completion of all assigned administrative tasks in a very proficient manner.

Responsibilities:

Maintain agenda and assist in planning appointments, conferences etc.

Attend meetings, take meeting minutes, and communicate final MoM.

Receive and screen phone calls and redirect them when appropriate.

Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)

Make travel arrangements for Line Manager.

Develop presentation and report templates for the Business Line and Enhance business line various presentations and reports outcomes.

Prepare invoices or financial statements and provide assistance in bookkeeping.

Monitor office supplies and communicate with other SPPC concerned departments to maintain office supply and ensuring the most cost-effective orders.

Proficient archiving of all documents and maintain electronic and paper records ensuring information is organized and easily accessible.

Handle confidential documents ensuring they are remain secured.

Foster positive internal relationships

Qualifications

Bachelor’s degree in business administration, management, or relative field.

Minimum of 3+ years’ experience with ideally experience in executive office management.

Proven experience as executive assistant or similar administrative role.

Excellent in MS Office specially Power Point and Word.

Strong communication skills in English both spoken and written.

In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry.

Familiarity with basic research methods and reporting techniques.

Excellent interpersonal, self-motivation, organizational and time-management skills.

Outstanding communication and negotiation abilities.
