Position Overview:We/Hirewell, on behalf of our esteemed client, are seeking a highly organized and proactive Contract Executive Assistant to support 3-4 executives located across the United States. The ideal candidate will have a proven track record in managing multiple executive calendars, coordinating complex travel arrangements, and planning meetings and catering. This role requires a minimum commitment of 90 days, with the possibility of extension or conversion based on performance and business needs.
Key Responsibilities:
Calendar Management:Efficiently manage and coordinate the schedules of 3-4 executives, ensuring optimal time management and prioritization of appointments and meetings.
Travel Planning:Arrange and oversee detailed travel itineraries, including flights, accommodations, ground transportation, and other travel-related logistics.
Meeting Coordination:Plan, schedule, and coordinate executive meetings, including preparing agendas, booking meeting rooms, and organizing catering services as needed.
Communication:Serve as the primary point of contact for executives, handling communications and responding promptly to inquiries.
Administrative Support:Perform various administrative tasks such as expense reporting, document preparation, and data entry.
Event Planning:Assist in organizing corporate events, offsite meetings, and team-building activities.
Requirements:
Skills:Proficiency in multi-calendar management, travel planning, and meeting/catering coordination.
Technology:Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with calendar management software.
Communication:Excellent verbal and written communication skills.
Organizational Ability:Superior organizational skills with a keen attention to detail.
Flexibility:Ability to adapt to changing priorities and handle multiple tasks simultaneously.
Professionalism:Demonstrated ability to handle confidential information with discretion and professionalism.
Availability:Must be available to work onsite in downtown Chicago from Tuesday – Thursday each week.
