Summary:

The Executive Assistant will provide high-level administrative support to the CEO and other Executive Committee members. Reporting directly to the CEO, Terrie Campbell, the Executive Assistant provides executive support in a one-on-one working relationship and also serves as a liaison to the board of directors and senior management teams. The role involves organizing and coordinating executive outreach and external relations efforts and overseeing special projects.

The ideal candidate will be creative, enjoy working within an entrepreneurial environment, and possess strong written and verbal communication, administrative, and organizational skills. A minimum of 2 to 3 years’ experience is required.

Essential Duties and Responsibilities:

Coordinate and maintain the CEO’s schedule, appointments, and travel arrangements.

Proactively manage time conflicts and prioritize meetings.

Schedule internal and external meetings with senior stakeholders.

Serve as the primary point of contact between the CEO and internal/external stakeholders.

Draft, review, and manage emails, memos, reports, and other communications.

Handle confidential information with discretion.

Plan and coordinate complex domestic and international travel, including preparing detailed itineraries, accommodations, and meeting logistics.

Process travel expenses and reimbursements.

Prepare briefing materials, agendas, and presentations for meetings.

Take meeting notes and ensure follow-up on action items.

Attend select meetings on behalf of the CEO when needed.

Track and help drive completion of key deliverables and follow-ups.

Assist in planning and executing strategic initiatives and events.

Coordinate with other departments on CEO-led projects.

Handle sensitive matters professionally and confidentially.
