Role Overview:
We’re looking for a proactive and detail-driven Office & Executive Assistant who doesn’t wait to be asked. You’ll keep the office running smoothly and support leadership by anticipating needs, sourcing solutions, and following through. From coordinating purchases to managing calendars, this role suits someone who thrives on staying one step ahead and making things happen behind the scenes.
Key Responsibilities:
Office Administration
Act as the first point of contact for in-person visitors and online customer enquiries.
Oversee general office upkeep, supplies, and maintenance coordination.
Handle all office purchasing—supplies, snacks, equipment, and furnishings.
Manage mail, couriers, office errands, and vendor relationships.
Organise internal events, meeting logistics, and travel bookings.
Maintain digital and physical filing systems.
Occasionally assist with sourcing products or materials for client projects (e.g. merchandise).
Suggest ways to streamline admin tasks and improve workflows.
Identify and pre-empt potential issues before they escalate.
Handle all inbound and outbound deliveries.
Troubleshoot minor tech/admin issues and liaise with internet service providers or contractors as needed.
Use Email, Slack and Trello as primary platforms for task management and internal communication.
Personal Assistant Support
Manage leadership calendars, appointments, and meeting prep.
Draft emails, notes, agendas, and occasional reports.
Coordinate travel arrangements, itineraries, and expense tracking.
Support company owners with personal-related admin & purchasing:
Source and order personal and business items for senior management.
Research and shortlist suppliers based on budget, timelines, and quality.
Act as liaison between executives and external contacts.
Handle ad hoc personal admin and confidential tasks.
Offer suggestions to improve communication, structure, and scheduling.
