Responsibilities:

Provide executive administrative support to the CMO & GTM leaders for Asia, including arranging internal meetings and supporting key initiatives.

Manage calendars efficiently, ensuring smooth scheduling and coordination.

Set up team meetings, coordinate offsites, and handle logistics and catering arrangements.

Arrange travel and visas as required.

Plan and coordinate visits from senior executives, managing logistics and hosting responsibilities.

Submit and manage expense reports.

Maintain team planning documents, such as organisational charts, using internal systems.

Assist with purchasing computer assets and marketing products, tracking and monitoring the asset budget.

Support the setup of new employees.

Manage the workload from the two leads, ensuring all tasks are completed efficiently.

Work quickly and efficiently, especially with structured sponsors.

Requirements:

Over 10 years of experience in a relevant field.

Strong communication, organisational, proactive, operational, and teaming skills.

Ability to follow processes with a keen eye for detail, being resourceful, patient, persistent, and accurate.

Enjoys working with others, engaging and networking with people, and leveraging others’ skills and knowledge.

Group administration or similar experience is required.

Proficient in calendar management, organising the schedules of two leads.

Experienced in coordinating and managing extensive travel arrangements, including visa arrangements.

Able to work across regional stakeholders, demonstrating professionalism and a positive attitude.

Capable of handling highly confidential information with maturity and intuition.

Proactive in ensuring the day is well-setup, especially when working for regional leaders.

Thrives in a constantly changing and fast-paced environment, able to multitask and prioritise effectively.

Highly accountable and reliable, with a strong attention to detail and the ability to grasp action items quickly with minimal follow-ups.

This is a contract role, with opportunity to convert to permanent. It’s a hybrid role, with max 1-2 days per week in the North Sydney office.
