We are looking for a highly capable and driven Executive Assistant to work closely under the CEO and partially with the Managing Director (MD) to drive strategic execution, cross-departmental coordination, and business operations oversight. This role requires project management experience, a sound understanding of investment and legal matters, and the ability to manage complex, high-impact tasks in a fast-paced and dynamic environment. The ideal candidate will act as a strategic partner—ensuring all moving parts of the business are aligned, deadlines are met, and priorities are efficiently managed.
3. KEY ACCOUNTABILITIES:
Description
Supporting cross-functional teams with inspirational leadership, fostering a culture of accountability, collaboration, and high performance.
Support the CEO and MD in executing strategic business priorities and decisions.
Lead and manage business projects across departments, ensuring timely delivery and alignment with goals.
Monitor KPIs, prepare business reports and dashboards, and flag issues needing leadership attention
Coordinate with internal and external stakeholders, ensuring smooth communication and accountability.
Review and track contracts, agreements, and regulatory documents with legal teams or advisors.
Maintain and monitor business-critical timelines, reports, and documentation for ongoing initiatives.
Work with investment, finance, and legal teams on high-value business cases and due diligence processes.
Identify operational bottlenecks, suggest improvements, and help implement efficient workflows.
Handle urgent matters with high confidentiality and effective prioritization.
Manage CEO’s complex calendar, schedule meetings, and coordinate logistics for internal and external engagements.
Prepare briefing notes, presentations, reports, and minutes for leadership meetings and board reviews.
Act as a liaison between the CEO and internal/external stakeholders, ensuring timely communication.
Handle highly confidential and time-sensitive information with professionalism and discretion.
Support occasional travel arrangements by coordinating with other departments, including visa processing, passport renewal, itineraries, and accommodations.
4. COMMUNICATIONS & WORKING RELATIONSHIPS:
Reports directly to the CEO, with dotted-line collaboration with the MD.
Works closely with other senior leadership team members and business managers.
Interfaces with departments such as Legal, Finance, Compliance, Operations, and Investments.
Maintains regular contact with third-party legal firms, vendors, consultants, and business partners.
Ensures clear communication across all functions to keep projects and strategic items on track
5. QUALIFICATIONS, EXPERIENCE & SKILLS:
Master’s degree in Business Administration, Finance, Law, or a related field (mandatory).
Law degree or legal certification is an added advantage.
PMP or relevant Project Management Certification is highly preferred.
Fluency in Italian proffered and English is essential.
