Our client, a privately held Hedge Fund- is seeking an Executive Assistant

This is a full-time office position 8am-5pm. They pay 100% of health, vision, dental insurance. They match 4% 401K. They pay for lunch every day. 5 sick days year. 2 weeks paid vacation after 6 months of work and 3 weeks after 3 years of work.

Responsibilities:

Executive Support:

Manage the CEO and Chairman’s busy schedule, including prioritizing and coordinating appointments, meetings, and travel arrangements.

Draft, review, and send communications on behalf of the CEO and Chairman, ensuring accuracy and professionalism.

Organize and prepare for meetings, including gathering documents, preparing presentations, and arranging logistics.

Answer and respond to phone calls, messages, and inquiries promptly, providing necessary information or redirecting them as appropriate.

Prioritize emails, filter correspondence, and respond on behalf of the CEO and Chairman when necessary.

Maintain confidentiality of sensitive information and exercise discretion in handling confidential matters.

Home and Family Support:

Manage personal appointments, family events, and social engagements, coordinating with the CEO and Chairman’s personal calendar.

Coordinate with House Manager and staff, including managing vendor relationships.

Assist with travel arrangements and logistics for family members, ensuring smooth and efficient travel experiences.

As needed, coordinate family-related activities and special occasions, including birthdays, anniversaries, and holidays.

As needed, handle personal correspondence, bill payments, and other administrative tasks related to home and family matters.

Administrative Support:

Maintain records, files, and documents for the CEO and Chairman, ensuring easy accessibility and efficient retrieval.

Prepare reports, presentations, and other materials for internal and external meetings.

Conduct research, gather data, and compile information as requested by the CEO and Chairman.

Assist in the preparation and coordination of board meetings, including agenda creation, minutes recording, and distribution.

Handle expense reporting, reimbursement requests, and financial documentation related to the CEO and Chairman’s activities.

Manage all office-related activities, including visitors, maintenance, etc.
