Heart To Heart Children’s Services is a growing healthcare/early intervention agency dedicated to delivering high-quality services and ensuring compliance across all aspects of care. We’re seeking a detail-oriented and proactive Administrative Coordinator to support our clinical and administrative teams.
Position Summary:
The Administrative Coordinator plays a vital role in maintaining smooth office operations while providing direct support to the clinical and compliance departments. This individual will be responsible for verifying provider session notes, tracking and obtaining authorizations, and assisting with day-to-day administrative functions.
Key Responsibilities:
Review and verify provider session notes for accuracy, completeness, and compliance with regulations
Track service authorizations and assist with submitting or obtaining new authorizations as needed
Collaborate with clinical staff to ensure timely documentation and follow-up
Support the administrative team with tasks such as data entry, record maintenance, and file organization
Communicate with providers regarding missing documentation or compliance issues
Assist with internal audits, report generation, and tracking of required paperwork
Coordinate with external stakeholders and agencies as needed
Perform other office support duties as assigned
Qualifications:
Prior administrative or healthcare office experience preferred
Strong attention to detail and organizational skills
Excellent communication and follow-up abilities
Proficient in Microsoft Office and electronic records systems
Ability to manage multiple tasks in a fast-paced environment
Experience in early intervention, home care, or healthcare settings a plus
Familiarity with healthcare documentation, session notes, and authorizations a plus
Position will begin part time Mon-Thurs 9-3 and will have room for full time / growth throughout the company!
