About the Role

We are looking for a proactive and highly organized Executive Assistant (EA) to support the Founder of a fast-paced, high-growth digital and product engineering company. This role goes beyond traditional admin work – you will act as an operational extension of the founder, ensuring alignment, momentum, and execution across multiple business functions.

Key Responsibilities

1. Executive & Administrative Support

● Manage the Founder’s calendar: schedule meetings, block focus time, and handle reschedules

● Coordinate travel plans, accommodations, and itineraries

● Prepare briefing documents, follow-up notes, and meeting summaries

● Handle confidential documents with discretion and professionalism 

2. Communication & Stakeholder Management

● Act as a point of contact between the Founder and internal/external stakeholders

● Draft emails, internal memos, and presentation materials

● Screen and prioritize communications, ensuring timely follow-up

3. Strategic & Business Operations Support

● Track OKRs and business priorities, ensuring timely progress updates

● Manage special projects, research assignments, and strategic initiatives

● Assist in preparing investor decks, client presentations, and business reports

● Participate in leadership meetings, take notes, and ensure action items are followed through 

4. Sales and Outreach Support

● Manage and track outbound outreach efforts via email, LinkedIn, and other channels

● Research and build prospect lists based on ideal customer profiles (ICPs)

● Draft, personalize, and send introductory emails, follow-ups, and meeting reminders

● Coordinate sales meeting schedules, ensure prep materials are ready, and assist with note-taking

● Maintain and update CRM tools (HubSpot, Pipedrive, etc.) with accurate lead, deal, and contact information

● Help prepare pitch decks, case studies, and client-specific proposals in collaboration with the Founder and design teams

● Assist in RFP/RFQ responses and vendor registration processes

● Monitor leads from inbound channels (website, social media, campaigns) and route them for action

● Track KPIs such as meeting conversions, pipeline progress, and follow-up compliance

● Support in organizing client demos, discovery calls, and post-pitch follow-up sequences

● Assist in creating and updating sales enablement collateral and knowledge libraries 

Must-Have Qualifications

● 3–6 years of experience as an EA, Chief of Staff, or Business Associate role

● Exceptional communication skills — written and verbal

● Strong organizational skills and attention to detail

● Proficiency in GSuite, Notion, Slack, Excel, and calendar/email management tools

● Comfortable handling ambiguity and switching contexts frequently

Good-to-Have

● Prior experience supporting a startup founder or leadership team in tech/digital companies

● Familiarity with agency or consulting environments

● Ability to create decks and reports with minimal supervision

● Exposure to client or investor-facing interactions
