And right now, we’re looking for an Executive Assistant – COO. Based at our Stoke Poges site location, you’ll provide comprehensive and high level administrative support to the Chief Commercial Officer plus adhoc support to the Commercial Lead Team and Commercial Department.

What will your day look like?

Organise and manage the CCO diary.

Acts as point of contact for internal and external customers and suppliers.

Arranging all domestic and international travel in line with company policy. Manage all associated paperwork (visa applications, internal travel forms etc) as necessary.

Expense processing using Chrome River.

Scheduling and coordinating meetings, conference calls, conference attendance, compiling agendas and taking minutes, managing visitor arrangements and catering.

Monitor email inbox and escalate or action urgent items when required / when CCO is absent.

Dealing with enquiries via telephone and email in a time manner.

Liaison with internal and external customers, suppliers and government agencies.

Providing general administration support to the Commercial Department (in support to/absence of Sales & Marketing Team Secretary). Covering travel arrangements, taxi bookings, meeting room and visitor logistics, courier arrangements.

Schedule and manage yearly diary of meetings and adhoc committee meetings as required

Coordination & distribution of meeting packs (containing papers, presentation, reports).

Attendance at meetings, minute taking and record actions for all committee meetings.

Generating purchase requisitions and receipting goods and services in SAP (P2P).

Ensure the timely approval of purchase orders.

Manage and process manual and urgent payments when required.

Invoice processing and budget monitoring where required.

Schedule and support the weekly Commercial Lead Team meetings (including attendance, recording actions and minute distribution).

Co-ordinate the planning and organization of offsite meetings as requested by the CCO (including offsite venues, Urenco and customer sites).

Carry out and support with project administration tasks as required.

What do you need to be great at this role?

Good secondary education to at least 5 GCSEs at Grade C or above (to include maths and English) or equivalent vocational qualifications.

Proven PA/administrative experience working at a Senior/Executive level, specifically organising complex travel itineraries and diary management.

Experience of communicating with senior levels of management.

Experience in meeting and event organization.

Ability to deal with challenging diary management and travel requested in accordance with various internal and external contacts.

Experience of using Microsoft Office suite, including Word, Excel and PowerPoint.

Experience of SAP systems would be desirable but not essential

High degree of discretion and confidentiality.
