JOH seeks an experienced, well organized, forward-thinking Executive Assistant (EA) who will be responsible for providing high-level support to the C-Suite. This position is an in-office position located at our headquarters in Billerica, MA.
The EA is expected to manage priorities to accomplish the multitude of requirements set forth by C-level executives with minimal direction. The EA will be expected to accomplish both short and long-term assignments independently, regarding objectives and policies to ensure organizational effectiveness and efficiency, while maintaining confidentiality as required. The EA will establish partnerships with all levels of associates as well as with customers and clients to provide excellent service in all aspects of the job. Additional duties include maintaining a list of current customers, clients, and addresses in support of general correspondence.
Job requirements include, but not limited to
Managing calendars and schedules, prioritizing the most sensitive matters
Excellent communication skills
Written correspondence including writing and editing emails, drafting memos, and preparing communications
including executive level presentations utilizing Word, PowerPoint & Excel
Meeting planning, organization and execution including catering when necessary
Effectively screen incoming calls
Arranging travel and accommodations; preparing expense reports
Organizing company events
Managing C-suite and company’s memberships in various associations and organizations
Other duties as assigned
Qualifications Required (Skills)
Bachelor’s Degree or equivalent experience
Minimum 5 years of direct and demonstrated Executive Assistant experience directly supporting the C-suite
Excellent organizational skills and attention to detail for keeping schedules and meetings
Financial skills to create and reconcile expense reports
Superb time management skills and the ability to support quick turnaround requests
Ability to maintain a high level of accuracy in preparing, entering, and tracking information.
Must be able to manage stressful situations and accommodate last-minute changes
Experience interfacing with clients/customers
Ability to work in a discreet manner and to maintain confidentiality and privacy
Advanced Microsoft Office skills including Word, PowerPoint, Outlook, and Excel
Qualifications Desired
Food, beverage, or consumer package industry experience; broker experience a plus
Ability to read and understand financial, analytics, and other reports, and summarize and present the data
