Overview:

We are seeking a highly organized, dependable, and proactive Executive Assistant to support our CEO in managing multiple companies across diverse industries. This role combines administrative expertise with a strong focus on sales and business development, requiring a self-motivated individual who can efficiently manage the CEO’s schedule, coordinate key tasks, and proactively engage in activities like cold calling, client outreach, research, and presenting business opportunities.

Key Responsibilities:

Administrative Support:

Schedule Management: Maintain and organize the CEO’s calendar, ensuring all meetings, appointments, and commitments are attended to.

Task Tracking: Keep track of ongoing projects, follow-ups, and tasks, ensuring deadlines are met and priorities are managed effectively.

Correspondence: Handle email, phone, and in-person communications on behalf of the CEO, including drafting and responding to correspondence.

Document Review: Review and provide feedback on various documents, including financial reports, contracts, and business plans.

Sales and Business Development:

Cold Calling and Outreach: Proactively reach out to potential clients, including phone calls, email campaigns, and in-person visits to generate leads and promote the company’s offerings.

Client Engagement: Represent the CEO in client meetings, presentations, and follow-ups to secure partnerships and sales opportunities.

Market Research: Conduct research to identify potential clients, emerging trends, and market opportunities for the CEO’s various companies.

Proposal Preparation: Assist in preparing presentations, proposals, and business development materials to support sales efforts.

Relationship Building: Foster and maintain strong relationships with stakeholders, partners, and clients.

HR and Team Support:

Assist with interviewing candidates, onboarding new hires, and handling HR-related administrative tasks.

Software Proficiency:

Utilize productivity tools such as Microsoft Office Suite, Google Workspace, and CRM systems to manage schedules, tasks, and client relationships effectively.

Qualifications and Skills:

Education: Bachelor’s degree or equivalent experience preferred.

Experience: Minimum of 3–5 years of experience in a personal assistant or business development role.

Skills:

Excellent verbal and written communication skills in English.

Proven sales or business development skills, including cold calling and client engagement.

Strong organizational and time-management abilities.

Proficiency with office software and CRM tools.

Ability to handle sensitive and confidential information with discretion.

Proactive, resourceful, and independent problem solver.
