LPL is currently recruiting for an Executive Admin Assistant. The Executive Admin Assistant will provide support to LPL’s President and Chief Financial Officer (CFO) and the role will be located in our future Manhattan, New York office. This is a highly visible role in a dynamic and fast-paced environment.
Responsibilities:
Handle all day-to-day responsibilities for the President & CFO.
Manage a heavy and busy calendar:
Heavy calendaring of internal and external meetings, keeping executive current with any changes, provide and post materials, and prepare the executive for all meetings.
Act as “gatekeeper” to President & CFO to ensure schedule is followed and respected.
Travel Management:
Arranging all aspects of travel including air, lodging, and transportation.
Ensure ease of travel and book travel as far ahead as possible to ensure flight options and first-class seating.
Management of President & CFO inbox:
Act on behalf of the President & CFO when appropriate by responding to emails as agreed upon with the President & CFO.
LPL Conferences:
Prepare agenda, materials, and provide information on conferences executive attends.
Travel and registration to the conferences.
Meeting with conference team for details.
Engage with Board members appropriately. Understand the Board schedule, the President & CFO’s role in the Board meetings.
Become familiar with the Earnings Call process.
Submit monthly business expenses using the Concur Expense application.
Be responsive to emails/texts/phone calls, with contact outside normal business hours.
Create solid working relationships with Chief of Staff team; Leadership team and other administrative staff within the business units, and also with our C-Suite administrative staff.
Requirements:
10+ years’ extensive experience in C-Suite level executive administration support and comfort working with high level executives. This is a high visibility position.
Exceptional travel arrangement experience with proven success working across multiple time zones.
Exceptional knowledge of Microsoft applications – Excel, PowerPoint, Outlook, Word (MS Office & MS Teams).
Requires strong attention to detail and ability to prioritize, multi-task, and work efficiently in a fast-paced environment.
Superior writing and editing skills.
Strong business sense and can decipher priorities and make sound judgment calls when needed.
Proactive in meeting and exceeding needs of leader and in handling highly confidential information.
Ability to meet deadlines and multi-task in a very fast-paced environment.
Willingness and availability to work outside regular work hours.
Ability to interact with people of all levels, clients and senior leadership, in a confident, professional manner.
Excellent organizational and customer service skills.
Ability to think outside of the box with a sense of urgency.
Preferred:
Associate or bachelor’s degree.
Financial Services Industry experience is a plus.
Exposure to company Earnings Call process is a plus.
Pay Range:
$90,300-$150,500/year
Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
