The Executive Assistant provides high-level administrative support to a physician of the Steadman Clinic and his practice by managing schedules, coordinating meetings, handling correspondence, handling all travel arrangements, and performing various tasks to ensure highly efficient operations. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion. The ideal candidate possesses strong communication skills, proficiency in office software, and the capacity to multitask in a fast-paced environment. Ultimately, the Executive Assistant plays a crucial role in facilitating the smooth functioning of his practice and contributes to the overall success of the organization.

Classification: This is a full-time, year round, exempt position with benefits.

Location: Vail, CO (hybrid remote, IN OFFICE as required)

Major Job Responsibilities/Essential Functions:

Work closely with the Practice Manager to manage calendar including: schedule meetings, appointments, and travel arrangements. Handles administrative tasks such as maintaining licenses. Accounting functions including coordinating billing information, accounts receivable and processing expense requests.

Handles matters expeditiously, and proactively, and follows through on projects to successful completion.

Work together with the Practice Manager and the Hip Coordinator in organizing presentations, and conferences.

Handle all business and personal travel; all aspects of the managing partner’s personal needs as related to his practice.

Assist with administrative tasks as designated by the Practice Manager

Maintains commitment to the Steadman Clinic / Steadman Philippon Research Institute mission and values.

Maintains confidentiality of all sensitive material and information in printed, electronic or verbal form, always exercising discretion.

Requirements:

Availability: The ideal candidate will be able to accommodate a flexible schedule, which may include evenings and weekends as needed. Schedules may change at short notice.

This position may be hybrid remote but presence in the office is required for optimum job function.

College degree with a minimum of three years of executive assistant experience – highly preferred.

Expert knowledge of Microsoft Office products is required. As well as managing multiple calendars.
