Our client is a Pharmaceutical company and requires an Executive Assistant to provide administrative assistance to senior executives.
Day-to-day tasks will include managing written communications on behalf of executives, managing expense reports and providing project support when needed.
Key responsibilities:
Taking dictation in-person or over the phone
Drafting and proof-reading written communications
Prepare Word, Excel, PowerPoint presentations, reports, agendas and other documentation as required to support company projects
Extensive inbox management, flagging emails that require attention/response with the appropriate level of urgency
Extensive diary management across multiple calendars and time-zones and resolve any scheduling issues in an efficient manner
Logging day-to-day expenses and managing reconciliation reports
Travel arrangements – both domestic and international
Coordinating meetings on behalf of the Board of Directors – draft agendas, circulate board packs and dial-ins etc
Screen incoming telephone calls
Support and complete ad hoc projects as assigned
The ideal candidate will have:
3 years+ in supporting executives or heads of department.
Excellent written communication skills, including proper use of grammar and spelling; experienced in proof-reading.
The ability to conserve Executives’ time by reading, researching, collecting and analysing information in advance as needed.
The ability to function well and multi-task in a fast-paced, entrepreneurial environment.
Excellent verbal communication skills, including active listening.
Expert proficiency in Microsoft Office, including Word, Excel and PowerPoint.
Adeptness at working with technology and able to assist colleagues with any IT-related queries.
Commitment to excellence and perform duties at the highest level possible on a consistent basis.
A team player mind-set and take a team-oriented experience and approach to projects.
The ability to think outside of the box with a sense of urgency.
Exceptional organisational and time-management skills.
Experience in the professional services, finance or pharmaceutical industries a plus.
Experience in Microsoft SharePoint a plus
