Operations Associate / Administrative Assistant

Part-time – full-time, Monday through Friday

Pay Range from $18.00 – $21.00 per hour

About You:
We are looking to add an experienced Part-Time Operations Associate to our Phenomenal Administration Team! As an Operations Associate, you will work with the Management, Clinical, Scheduling, Human Resources and Marketing Teams to facilitate administration of ABA services.

Responsibilities:
— Running errands
— Supporting the Scheduling team (data entry, phone calls, sending emails, etc.)
— Supporting Marketing efforts (buying things for marketing initiatives, research, etc.)
— Supporting the Clinical team (creating and maintaining various crafts and learning tools used during sessions with our clients, assembling PPE kits for therapists, etc.)
— Assisting with weekly billing audits, as well as other billing support (mostly data entry and filing, but could evolve into a much bigger role that would involve interfacing with insurance companies and the state of California)
— Supporting IT, when necessary (installing software updates on company computers, troubleshooting Internet issues, setting up printers, etc.)
— Tracking inventory
— Monitoring all four offices for compliance with existing legal requirements (e.g., COVID safety protocols, making sure the required labor law posters are up-to-date, etc.)
— Light maintenance and cleaning of offices (mostly the VV and Studio City offices, light maintenance in Hawthorne and occasionally Palmdale)
—Filing

— Ability to perform a broad variety of tasks, each requiring a different skill set

— Confidentiality and trustworthiness (this position requires occasional visits to the Management’s residence when running errands, being professional and trustworthy is a must)
— Growth mindset, ability to learn and take on new responsibilities over time
— Valid driver’s license and a car that is in good working condition. Comfortable driving, when necessary (occasionally 100+ miles in a day)
— Basic handyman skills (e.g., touch up paint, screw in a light bulb, hammer in a nail, etc.)
— Basic IT skills (e.g, knows how to run a software update or to troubleshoot an Internet outage, etc)
— Proficient in Microsoft Office and the vast majority of the Google suite of tools (Docs, Spreadsheets, Slides, Mail, Calendar, Voice, Meets and Search)
— Internet research capabilities

Good to have
— Adobe Photoshop experience (Preferred)
— Microsoft Office: 2 years (Preferred)
— Administrative: 1 year (Preferred)

Physical Requirements

Due to the active and physical nature of this position, the candidate must be able to stand, sit, lift at least 30 pounds, bend, kneel, twist, and speak articulately in order to effectively perform in this position.
