We are looking for an Executive Assistant to join our organisation in Brussels. This is an exciting opportunity to work at the intersection of innovation, law and entrepreneurship.

Summary

We are looking for an executive assistant to support our Managing Directors and to provide ad hoc support for the members of the legal team.

This is a high-impact role for someone who ensures smooth and efficient coordination of daily activities and strategic projects.

The ideal candidate must be able to manage multiple tasks simultaneously in a dynamic, constructive and international environment.

What you will do:

Provide comprehensive administrative support to Managing Directors, including coordinating calendars and travel arrangements and scheduling meetings

Coordinate and facilitate meetings, calls, webinars, and trainings

Ensure the management of documents, including the organisation, filing and maintenance of electronic files and records in compliance with company policies

Prepare, format, proofread and edit legal documents, reports, presentations, and correspondence

Assist in the preparation and coordination of board and shareholders’ meetings and events, including agenda preparation and document distribution

Work in close collaboration with our other Executive Assistant and our Management Assistants

Please note that this list of responsibilities is non-exhaustive and that you will be able to explore additional tasks, depending on the workload and to cater for the needs of the teams and of the company.

Who you are:

Bachelor’s degree (or equivalent) in office management, languages, legal studies, or a related field.

Proven experience as an executive assistant, legal assistant, or in a similar role within a law firm or corporate legal department. Knowledge of the investment or financial industry is a plus.

Excellent proficiency in Microsoft Office and other relevant software applications.

Fluent in English (written and oral); good knowledge of French and/or Dutch is a plus

Ability to communicate both written and oral with a broad range of stakeholders

Strong organisational, time management, and problem-solving skills.

Attention to detail and accuracy.

Collaborative mindset with the ability to work independently.

Able to handle sensitive information and maintaining confidentiality.

Eager to learn, proactive, positive mindset and with a flair for multi-tasking and keeping deadlines.
