Job Overview
As an Administrative Assistant, you will be a key contributor to the smooth and efficient operation of the office and clubhouse. This role requires a detail-oriented and organized individual with excellent communication and multitasking skills. You will handle administrative tasks, manage office procedures, support staff and residents, and assist with community operations.
Primary Responsibilities
Administrative Support
Handle incoming calls, emails, and inquiries, directing them as appropriate.
Manage calendars, schedule meetings, and maintain front desk spreadsheets (e.g., new residents, tenants, overnight parking, clubhouse checks).
Provide clerical support (copies, faxes, scanning); maintain documentation (e.g., car decals, age verification, tenant leases).
Utilize software including SharePoint, Caliber, Badge System, and Car Decal Management System.
Document Management
Maintain digital and physical filing systems, including resident records and sign-up sheets.
Process and forward important documents such as deeds, death certificates, and leases to appropriate departments.
Maintain records for age-restricted (55+) compliance.
Meeting & Event Coordination
Assist with preparing agendas, meeting minutes, and event sign-ups.
Open/close front desk register; record and report all sales transactions daily.
Organize materials and logistics for community events and meetings.
Community Relations
Greet residents and assist with obtaining access cards, decals, and information on clubhouse member rules.
Address and escalate resident concerns to appropriate departments.
Coordinate with CAM, and vendors for events and operational updates.
Compliance and Enforcement
Support the CAM in enforcing community rules and tracking violations.
Maintain communication with residents about compliance matters.
Ensure clubhouse operations are running smoothly by conducting periodic inspections.
Requirements:
Qualifications
High school diploma or equivalent (administrative training a plus).
Proficient in Microsoft Office (Word, Excel, Outlook).
Strong organizational, communication, and time-management skills.
Ability to multitask, maintain confidentiality, and handle sensitive information with discretion.
Working Conditions
This position operates in a professional clubhouse/office environment and requires flexibility to work evenings and weekends.
