Our client, a prominent private equity firm, is seeking a highly organized Executive Assistant who will be assisting their Talent Acquisitions team. This role requires exceptional attention to detail, strong communication skills, and the ability to handle confidential information with discretion. The ideal candidate will be a problem-solver who thrives in a fast-paced environment and can anticipate the needs of executives to ensure seamless day-to-day operations.
**Please note this is a hybrid, 1-month contract role based in San Francisco, CA. Pay will be $55-$60/hr.**
Key Responsibilities:
Manage complex calendars for TA leaders, including internal meetings, candidate interviews, and cross-functional engagements.
Schedule and confirm interviews with candidates and hiring managers, arrange travel as needed, and ensure a seamless candidate experience.
Draft and manage professional communications, including interview confirmations and follow-ups, with a high level of discretion.
Coordinate internal meetings, recruiting events, and executive search briefings, including preparing agendas and materials.
Assist with recruiting initiatives such as onboarding, tracking pipelines, and updating search documentation.
Support the creation of presentations, reports, and recruiting materials using Microsoft Office tools.
Liaise with external recruiters, manage invoices, and ensure accurate expense reporting in line with firm policies.
Proactively identify opportunities to improve team operations, workflows, and communication processes.
Provide additional administrative and project support
Qualifications:
3–5+ years of executive assistant experience ideally within a recruiting firm, talent acquisition function, private equity, or a search firm.
Bachelor’s degree (BA/BS) preferred
Exceptional organizational and multitasking abilities; proven experience supporting senior-level executives.
Excellent written and verbal communication skills.
High degree of discretion and professionalism.
Proficient in Microsoft Office Suite; familiarity with ATS platforms (e.g., Greenhouse, Lever) is a plus.
