Job Description:
The Executive Assistant will play a crucial role in managing the daily operations and priorities of the President & CEO. This individual will handle scheduling, travel coordination, communications, and administrative support while maintaining confidentiality and professionalism. The ideal candidate is highly organized, adaptable, and proactive.
Key Responsibilities:
Manage an ever-changing executive calendar and schedule meetings across multiple time zones
Coordinate extensive domestic and international travel arrangements
Serve as the primary liaison for internal and external communications on behalf of the CEO
Prepare reports, presentations, and key business documents with a high level of accuracy
Track and manage action items, ensuring follow-ups are completed in a timely manner
Provide support for strategic projects and initiatives within the executive office
Maintain confidentiality while handling sensitive information with discretion
Process expense reports and oversee administrative documentation
Qualifications:
5+ years of administrative experience, with at least 2 years in a senior administrative or executive assistant role
Proficiency in productivity tools such as Asana (or similar CRM), Microsoft Office Suite, Outlook, Zoom, Google Suite
Experience using tools such as Box, DocuSign, and Adobe Acrobat
Ability to adapt quickly to shifting priorities and handle last-minute schedule changes
Excellent written and verbal communication skills with strong attention to detail
Bachelor’s degree preferred
