Jack & Jill Center is a nonprofit 501(c)(3) community-based organization that provides comprehensive, holistic, wraparound support services to children of high-need parents who work or attend school in order to improve their wellbeing and quality of life. Established in 1942 as a nursery school by the Junior League of Greater Fort Lauderdale, Jack & Jill Center is the oldest nonprofit provider of early childhood education in Broward County, and at our core, our critical work has remained the same since our inception: we continue to serve families—primarily women-led households, educate children, and both support and advocate for families and our community.
The Executive Assistant provides multi-faceted administrative support and assistance to ensure effective use of the Chief Executive Officer’s time and productive interactions with senior leadership, board members, and external stakeholders. This role requires excellent organizational, communication, and time-management skills to handle a wide range of administrative and support tasks, independently initiating and implementing processes to manage projects, information, and people. The Executive Assistant acts as a key liaison between executives and internal/external stakeholders, facilitating high-level operations while maintaining strict confidentiality and discretion.
Key Responsibilities
Administrative Support
Provide high-level administrative support to the Chief Executive Officer and other assigned leadership staff.
Draft and edit letters, memos, invoices, reports, and other documents.
Manage and maintain executives’ schedules, including appointments, meeting preparations, follow-up tasks, and complex travel arrangements.
Handle a broad range of administrative tasks independently and proactively.
Assist in creation of graphic materials as needed.
Communication and Coordination
Receive and screen incoming communication or memos on behalf of senior staff, summarize contents, and distribute to appropriate team members.
Schedule and attend meetings on behalf of executives, take notes, and record minutes.
Coordinate communication between the Chief Executive Officer, board members, and other stakeholders.
Develop and maintain positive, strategic relationships at all levels of the organization.
Manage communication with Board, including maintaining contact information and ensuring timely updates.
Board and Committee Support
Set up Board meetings and maintain the Board calendar.
Take Board and Committee meeting minutes and ensure timely distribution.
Create Board and Committee meeting agendas and supporting materials.
Ensure follow-up on Board and Committee actions items.
Research and Information Management
Conduct research and information gathering on behalf of the executive and prepare summaries and reports.
Coordinate office services and activities to support organizational efficiency.
Manage and maintain office systems, including digital tools. filing systems, and knowledge databases.
Maintain factual website information and ensure updates as needed.
Contracts and Compliance
Review all contracts for necessary assignments and compliance with organizational policies.
Assist with tracking and processing contracts as needed.
Donor and Fundraising Support
Provide backup support to the Gift Acceptance Manager and possibly other positions.
Assist in managing and tracking donor touchpoints and interactions using Blackbaud software.
Pull and summarize donor information prior to executive donor visits.
Conduct donor-related research to support fundraising efforts
Leadership and Support
May be responsible for directing and deploying support staff or other resources.
Act as a resource for administrative best practices and tools.
Support organizational initiatives and cross-departmental projects as needed.
Perform other duties as assigned by executives.

Desired Abilities & Qualifications
Ability to orally communicate effectively with others, with or without the use of an interpreter.
Ability to communicate effectively both orally and in writing, using the English language, with or without the use of auxiliary aids or services.
Minimum typing speed of 50 words per minute; proficiency in calendar management tools.
Maintain open communication, confidentiality and professionalism at all times.
Follow and enforce the Center’s policies and procedures at all times as listed in employee and parent handbooks.
Ability to set for prolonged periods at a desk and working on a computer.
Ability to lift up to 10 pounds at a times.
A valid driver’s license and access to transportation.
Authorization to work in the USA.
Desired Education & Experience
Bachelor’s degree in business administration or related field preferred.
3+ years of experience in providing administrative support required, with experience in nonprofit or corporate setting.
Administration Professional Certification (CAP) or similar credential preferred.
Experience with project management tools and video conferencing platforms such as Zoom, Google Meet or Microsoft Teams. Experience with Razor’s Edge, Blackbaud, and Canva preferred.
Strong communication, organizational and interpersonal skills.
