MyDevConnect is seeking a highly organised and tech-savvy Executive Assistant to support the Chief Executive Officer (CEO) across all professional and work-related activities for the organisation and its associated ventures. This role requires a dynamic individual capable of managing diverse responsibilities, creating and implementing systems, and ensuring seamless coordination between the CEO and various stakeholders. The ideal candidate will serve as a strategic partner to the CEO, handling administrative, operational, and project-based tasks with discretion, initiative, and a proactive mindset.
Must Haves
1. Must have the ability to take ownership over all tasks, timelines, and delivery, with little direction
2. Must be highly motivated to push all action items forward
3. Must be able to take ownership over relationship management and associated workflows
4. Must be technically competent and equally comfortable with slide decks/presentations, reports/one-pagers and document writing, and spreadsheets.
5. Must be comfortable and professional when liaising with clients and business partners
Key Responsibilities
1. Administrative & Operational Support:
Manage the CEO’s professional calendar across multiple ventures, scheduling meetings, appointments, and engagements.
Serve as the primary point of contact for communications, prioritising and responding to emails and inquiries on behalf of the CEO.
Plan, organise, and prepare agendas for internal and external meetings.
Take meeting minutes, summarise key takeaways, and follow up on action items as required.
2. Technology:
Work to implement tools and systems to streamline workflows and improve efficiency.
Manage the evaluation, onboarding, and integration of technology platforms, ensuring alignment with the CEO’s goals and operational needs.
Manage virtual filing systems and stores of information.
3. Project Management:
Assist the CEO in managing and tracking progress on strategic initiatives across MyDevConnect and its affiliated entities.
Organise and prioritise project tasks, monitor timelines, and ensure deliverables are met.
4. Relationship Management:
Take ownership over all relationship management efforts, tracking the purpose and conclusions of meetings and deliverables, following up on next steps accordingly.
Act as a liaison between the CEO and key stakeholders, fostering positive relationships and ensuring clear communication.
Handle sensitive and confidential information with the highest level of professionalism.
Communicate with clients and business partners, through email, over the phone and in person.
5. Research & Reporting:
Conduct research to support decision-making on strategic initiatives.
Prepare reports, presentations, and briefings for meetings, presentations, and special projects.
6. Process Improvement & Time Management:
Anticipate the CEO’s needs and proactively manage priorities to maximise productivity.
Continuously seek opportunities to optimise processes and create efficiencies.
7. Task Execution:
Assist in task execution, on an as-needed/relevant basis
