Hourly Compensation: $23.78 – $32.95 per hour
About The Role:
Under the general direction of the Manager, Human Resources, the Administrative Assistant performs a wide variety of duties including but not limited to ensuring up to date personnel recordkeeping in compliance with all regulations and assists the team with hiring & onboarding.
What You Will Do:
Reads and routes incoming mail to HR staff.
Screens calls, receives, complaints and routes messages to the appropriate HR staff member.
Files correspondences, and employee documents.
Arrange appointments, meetings, and engagements for HR staff.
Assist with New Hire Orientation administration, preparation, and room set-up.
Assists with data entry for new hires, and documents into UKG for all employees.
Processes verification of employment requests.
Creates badges for SDCCC and partner organizations, maintains vendor badge list and replenishes materials associated with badge production as needed.
Other duties may be assigned.
What You Will Need:
High school diploma or general education degree (GED); and at least three years’ experience in a customer service capacity; or equivalent combination of education and experience. Previous experience in public venues is preferred.
Availability to work three (3) days per week (Monday, Wednesday and Friday, preferred) from 12:00pm – 5:00pm with open availability the week of July 21, 2025.
Bilingual English/Spanish or English/Tagalog is helpful but not required.
Proven ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Proven ability to write routine reports and or statements. Proven ability to speak effectively before groups of customers or employees.
Proven ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Proven ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Proven ability to deal with problems involving a few concrete variables in standardized situations.
Must be detail orientated.
Proven ability to prioritize tasks.
Previous experience utilizing an HRIS platform, such as UKG is highly preferred. Advanced knowledge of Microsoft applications including Word, Excel, Outlook, and PowerPoint, as well as Adobe applications.
Proven ability to act with integrity, professionalism, and confidentiality.
Outstanding interpersonal skills with the proven ability to interact with employees and the general public with a focus on customer service and satisfaction.
Strong communications skills to include expression of ideas and questions in conversation and correspondence.
Excellent telephone demeanor.
Strong organizational skills for prioritizing and completing assigned tasks and projects on time.
Proven ability to arrive on time to provide prompt service to the organization and our customers.
Proven ability to maintain confidentiality and a high level of business integrity. Team oriented with a desire to collaborate, take initiative, and be supportive.
Must be able to work in and among large number of people, be able to walk and able to increase the pace, when necessary, go up and down stairs, bend, kneel and stand for extended periods of time.
Must occasionally move up to 15 pounds.
