About the Role

Our client, a leading global asset management firm, is seeking a highly skilled and professional Executive Assistant to provide comprehensive support to a core team of five (5) executives while managing expense reporting for an additional seven (7) senior leaders.

This role requires a seasoned professional (8+ years of experience), ideally from a similar industry—Investment Banking, Corporate Finance, Private Equity, Treasury, or Capital Markets—who thrives in a fast-paced environment, has a strong track record of tenure, and is seeking a long-term opportunity.

Key Responsibilities

✔ Executive Support – Provide high-level administrative support to a core team of five (5) senior executives, managing calendars, scheduling, and prioritizing tasks.

✔ Expense Management – Handle expense reporting for a total of twelve (12) executives, ensuring accuracy and compliance with corporate policies.

✔ Travel Coordination – Arrange domestic and international travel, including detailed itineraries, visas, and accommodations.

✔ Meeting & Event Management – Schedule and coordinate meetings, prepare agendas, track action items, and ensure seamless execution.

✔ Communication & Correspondence – Act as the primary liaison between executives and internal/external stakeholders; draft, proofread, and manage communications.

✔ Document & Presentation Preparation – Prepare reports, presentations, and briefing materials with a high level of accuracy and professionalism.

✔ Confidential & Strategic Support – Handle sensitive information with discretion and sound judgment.

✔ Office & Project Management – Assist in office operations, special projects, and ad-hoc tasks as required.

What We’re Looking For

✔ Experience – 8+ years as an Executive Assistant, preferably in Financial Services, Investment Banking, Corporate Finance, Private Equity, Treasury, or Capital Markets.

✔ Technical Skills – Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel) is a must; experience with Concur (or similar expense management software) is a strong plus.

✔ Professionalism & Tenure – A career-oriented professional with a proven track record of long-term commitment in previous roles.

✔ Communication – Exceptional verbal and written communication skills, with a confident, articulate, and professional approach.

✔ Time Management & Attention to Detail – Highly organized, able to manage competing priorities, and execute tasks with precision and efficiency.

✔ Flexibility & Initiative – Adaptable to shifting priorities, proactive in anticipating needs, and resourceful in problem-solving.
