Position Overview- We are seeking a highly organized and detail-oriented individual to join our team as a Field and Office Coordinator. In this role, you will be responsible for supporting project operations by managing material orders, coordinating deliveries, processing invoices, and handling a variety of administrative tasks. You will work closely with superintendents, engineers, and subcontractors to ensure smooth project execution.
Key Responsibilities:
Place and manage material orders for project needs.
Collaborate with superintendents to coordinate material deliveries.
Communicate with project superintendents and engineers to receive and track material tickets.
Accurately enter and manage receiver tickets.
Process material invoices in a timely and organized manner.
Communicate with superintendents regarding anticipated subcontractor invoices.
Enter subcontractor receiver tickets.
Process subcontractor invoices and ensure accurate documentation.
Track the progress of invoices from order placement to payment.
Collaborate with project engineers on budget revisions.
Receive and route weekly paperwork from the field.
Manage inventory and order office supplies as needed.
Receive, organize, and route incoming mail.
Maintain accurate document filing systems.
Take meeting minutes and ensure proper distribution.
Manage and maintain team calendars, scheduling meetings and appointments.
Skills & Qualifications:
Strong organizational and multitasking abilities.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite and other office tools.
Experience in construction or project management is a plus.
Detail-oriented with the ability to track and manage multiple tasks.
Ability to work well independently and as part of a team.
