Job Summary

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Regional Business Development Director. The ideal candidate will be a strategic partner, assisting in operational improvements, data-driven reporting, and managing administrative tasks efficiently. This role requires strong analytical skills, attention to detail, and the ability to handle confidential matters with discretion.

Key Responsibilities

1. Administrative & Personal Support (40%)

Manage and respond to emails on behalf of the Sales Director, ensuring prompt and professional communication.

Attend meetings as a representative of the Sales Director, taking notes and conveying decisions.

Handle personal and confidential matters with discretion.

2. Reporting & Data Analysis (30%)

Consolidate and analyze sales reports.

Prepare and present findings to the Sales Director in a clear and actionable format.

Draft meeting memos, reminders, and follow-ups to ensure timely execution of action items.

3. Operational Improvement (30%)

Analyze current sales operations and identify areas for efficiency enhancement.

Provide actionable recommendations to the Sales Director for process optimization.

Assist in implementing new procedures to improve workflow and productivity.

Qualifications & Requirements

5-8 years of experience as an Executive Assistant, preferably supporting senior leadership in sales or operations.

Strong proficiency in Microsoft Excel (pivot tables, VLOOKUP, data visualization) and other Office tools.

Excellent analytical skills with the ability to interpret data and provide insights.

High level of professionalism, discretion, and ability to manage sensitive information.

Strong communication skills (written and verbal) with fluency in English.

Proactive, detail-oriented, and capable of multitasking in a fast-paced environment.
