The Job
You will play a crucial role in providing administrative support and ensuring efficient workflow for the CEO and CFO. As the EA you will be managing calendars, coordinating meetings, making travel arrangements, tracking expenses and much more! The CEO is looking for a people person who loves supporting teams.
Provisions of high-level, confidential administrative support to the CEO and CFO and for other Executive Team members upon request
Management of the CEO and CFO’s schedule, including preparation for meetings such as agendas and provision of background information
Organize, coordinate, and prioritize daily activities for them and potentially other members of the Executive Team, including scheduling meetings and day to day organizational support
Prepare and edit executive level communications, briefing notes and PowerPoint presentations
Arrangement of travel by booking transportation needs and hotel accommodations
Support with internal meetings, including preparing meeting materials, preparing agendas, taking minutes, tracking participation, tracking action items, and other aspects of meeting coordination, such as virtual workspace and resource tools, room booking, set up and media support
Input weekly timesheet and complete monthly expense reports for the CEO and CFO, and manage invoicing and securing of approvals
What you bring to the job
You are someone with ample administrative experience and know how to support a fast-paced team. You come with the following qualifications:
Excellent MS Office skills: Word, Excel, and PowerPoint.
8-10+ years of administrative assistance support, supporting executive (s).
Strong organizational and time management skills.
Attention to detail and ability to multitask.
Effective communication and interpersonal skills.
Ability to handle confidential information with discretion.
Critical thinker
Flexibility and able to adapt to various situations.
