We’re looking for a highly organized and proactive Executive Assistant to serve as the COO’s right-hand, supporting day-to-day operations and ensuring efficiency across key business functions. Key Responsibilities

Executive Support & Operations

Assist in managing and streamlining the COO’s workload

Handle weekly expense reports and assist with financial documentation

Organize, maintain, and refine internal processes to improve efficiency

Support team communications, culture initiatives, and event planning

Project & Task Management

Oversee and update Asana boards, tracking progress on key initiatives

Assist with various operational and project management tasks

Coordinate internal and external resources to expedite workflows

Technology & Access Management

Manage Tech Stack access, including logins and permissions

Oversee Zipify’s Password Manager and ensure secure access to tools

Organize and maintain shared Google Drive folders

Meeting & Documentation Support

Assist with scheduling meetings, preparing meeting agendas, taking detailed minutes, and distributing follow-up action items

Handle correspondence, including memos, reports, and invoices as needed

Process and organize sensitive documents with confidentiality

Ideal Skills & Experience

Proficiency in:

Asana (Project & task management)

Google Workspace (Docs, Sheets, Drive, Gmail)

Google Calendar (Scheduling & meeting coordination)

Key Qualifications

Highly organized: Ability to prioritize tasks, manage complex schedules, and anticipate needs

Excellent communication: Strong written and verbal communication for internal and external interactions

Tech-savvy: Comfortable navigating and troubleshooting various digital tools

Detail-oriented: Ensures accuracy and precision in all administrative tasks

Trustworthy & Discreet: Handles confidential information with professionalism and integrity

Must be able to work USA hours
